ACCOUNTS AND ADMINISTRATIVE ASSISTANT

Reports to: Company Accountant, Operations Manager

Based at: Fearn, Tain

Job purpose:

To become part of the accounts/administration team based at the company head office providing support in delivering accurate and timeous information to the senior management and company directors. 

Key responsibilities and accountabilities:

  1. Check the end of day reports for all stores and enter data onto exchequer daily.
  2. Reconcile sundry cash, card and bank clearing accounts on a daily basis.
  3. Reconcile petty cash accounts and enter all expenditure details monthly.
  4. Process purchase ledger transactions from order through to payment.
  5. Check and post daily sales invoices and receipts raised by all sales staff.
  6. Deposit Fearn cheque and cash receipts as required.
  7. Collect receipts for credit cards from cardholders and match to the statement on a monthly basis before passing to accounts supervisor for processing.
  8. Manage the company switchboard, diverting calls as applicable.
  9. Open the mail and distribute daily as appropriate.
  10. Assist with various other projects as required.

Prior book-keeping experience is crucial for this role.  Full and part time applicants will be considered.

RETAIL MANAGER - EDINBURGH

As Edinburgh Retail Sales Manager you will play a key role within the team to ensure the continued prosperity of the company.

As manager, you shall be expected to be passionate, inspiring, engaging and ready to motivate your team, at all times, leading by example. Running a busy and organised operation requires previous experience in retail management, ideally in a similar environment.

Although proven experience and ability is key; we are looking for the right person with the right attitude to manage sales in our flagship store.

Job Purpose - Ensure the Edinburgh showroom meets sales targets and maintains brand standards.

Key responsibilities and accountabilities:

  • Motivate the sales team to meet sales targets and provide excellent customer service.
  • Ensure sales team are knowledgeable of cash targets, cumulative sales and previous year sales figures.
  • Analyse sales figures to gain knowledge of best-selling products and previous sales trends. Report figures to Senior Management.
  • Oversee staff performance including personal conduct, providing feedback and taking action when required.
  • Responding to customer complaints and comments, escalating to the Operations manager where applicable.
  • Responsible for staff rota – Updated and communicated in a timely manner.
  • Staff training – Identify areas of development and deliver or organise appropriate training.
  • Management of store stock levels –  Ensure levels are in line with the company stock plan. Report discrepancies and problems to despatch supervisor . 
  • Ensure all staff members understand how to use the company stock plan and have an understanding of current season designs, patterns and colours.
  • Ensure stock deliveries are processed in accordance with company guidelines.

  • High attention to detail, as well as a visual eye is required to deliver the expected shop floor and backstage standards.
  • Strong commercial acumen with the ability to forecast sales plans and KPI targets for all sales channels.
  • Proven experience in making commercial decisions that are right for the business, using all tools available
  • Strong awareness of local knowledge to pro-actively seek, anticipate and respond to shifting trends and new market opportunities.
  • Engaging leadership style that empowers the team
  • Proactive approach to self development as well as the development of others.
  • Willingness to take responsibility and accountability for making decisions and communicating them effectively to the team.
  • Ability to react quickly to changing situations, and delivering at pace.
